However, the majority of the microfilm reels may contain materials covered by privacy, and so the microfilm reels are open only to authorized officials. These tapes contained financial and budget records of Washington State University. Some films had been removed before their arrival at the Archives and are not listed here. Box 5 and 6 contain indexes for tapes 0-300 and 1500-1800 respectively. The films record financial transactions from 1918 to 1979. Records include, among other things, budget statements, vouchers, financial records relating to student veterans, payroll records, and receipts and cashiers receipts.

Arrangement

The collection is arranged initially for format, with four boxes containing 367 individually boxed reels of microfilm, followed by two boxes containing print indexes to some of the microfilm. The microfilm is maintained in a numerical order established prior to coming to the archives, and there are many holes in that sequence. Reels 1-6A are identified as Central Stores, reels 17-652 are identified as Accounting, and reels 680-1792 are identified as Controller’s (or Comptroller’s) Office.

While the contents of each reel are written on their box, there is no obvious overall pattern to the ordering of the reels. Apparently each reel may include an index to that reel’s contents at the end of the roll.

The two index volumes cover reels A1-300 and 1501-1800. Based on the page numbering, it is obvious that other index volumes existed, but MASC does not hold them.

Acquisition Information

On January 19, 1981 the Controller's Office transferred these microfilmed record copies to the Washington State University Libraries’ Manuscripts, Archives, and Special Collections (MASC), where they were retained as UA1981-01.

Processing Note

This collection was processed by Barbara Kovarik-Gahl in April 1981.

Separated Materials

On April 13, 1981, one linear foot of non-microfilm (print) materials was separated out from these records and retained as UA1981-13. These papers contains correspondence, reports, financial records, and class census materials, among other things.
