Records of the Office of the Provost and Dean of the Faculty are closed for 20 years from the date of creation. Access to files spanning multiple years will be opened to researchers based on the date of the most recent materials. Student educational records such as credentials, grade sheets, correspondence, reports, notes, applications, and all other records pertaining to past and present students are governed by the Family Educational Rights and Privacy Act of 1974 and are restricted for 75 years from the date of creation. Personnel related files of the college's faculty and staff, including search, review, promotion, reappointment, tenure, and disciplinary/grievance records, are restricted for 75 years from the date of creation. Additional restrictions may apply to other materials in this collection.

Historical Note
The Office of the Provost and Dean of the Faculty serves as head of the academic program. It is responsible for overseeing the faculty, curriculum, academic support, academic program budgets, grants and faculty development, institutional governance, and accreditation processes. The dean of the faculty serves as the chief academic officer and, as provost, this individual represents the college in the event of the president's absence. At the beginning of Whitman College's history, the administrative duties that the provost and dean of the faculty are responsible for were overseen by individuals appointed to the position of the dean of the college.
In 1907, President Penrose appointed Archer W. Hendrick as dean of the college. Before becoming dean of the college, Hendrick was an assistant English professor hired in 1902. Hendrick resigned from the dean position in 1911. President Penrose then instituted a three-dean system (one for each division) and each dean was responsible for separate administrative duties. In 1934, President Clemen reinstated the dean of the college position and appointed Walter A. Bratton, a professor of mathematics who came to Whitman in 1895, to the role. Bratton's responsibilities included educational and faculty administration. He was promoted to acting president in 1936 while also serving as dean of the college for one more year until 1937. Under Bratton's presidency, the dean of the college duties were once again divided up between a group of divisional deans, the dean of the men, and the dean of the women.
President Maxey established the dean of the faculty position in 1934 and appointed Frank L. Haigh, a chemistry professor, to the position. From 1934 to 1967, four individuals served as dean of the faculty. The title dean of the college briefly appeared from 1967-1971 filled by Kenyon A. Knopf. In 1971, Knopf became dean of the faculty, and in the same year President Sheehan appointed him to the newly created position of provost. Knopf held both dean of the faculty and provost positions until 1977, when Roy Hoover became the acting dean of the faculty. From 1977 to 1980, Knopf served as provost only. President Skotheim eliminated the position of provost, and it wasn't until 2007 when the provost position was reinstated. President Bridges added the provost title and responsibilites to the position of dean of the faculty. Lori Bettison-Varga was the first to serve in this joint role beginning in 2007, and her successors have held the one position of provost and dean of the faculty. The Office of the Provost and Dean of the Faculty Records consist of materials created and collected by the Provost and Dean of the Faculty Office, and organizational boards of the faculty including the Board of Deans, Faculty Council, and Academic Council. This record series dates from 1903 to 2020. This record series includes topical subject files on scholarships and fellowships, departmental programming, external departmental reviews, exchange programs, annual reports, and academic advising. The Dean A.W. Henricks series includes correspondence and material related to his tenure as Dean of the Faculty, as well as materials related to the Greater Whitman Campaign. The Board of Deans, Faculty Council, Academic Council, and Policy Committee series contain meeting minutes and records of these faculty groups. Also included in this record series are faculty codes and handbooks, and accreditation records on Whitman College, both from external bodies and internal self-studies.

Dean A.W. Hendricks Records, 1904-1912
Arranged alphabetically.
In 1907, Archer W. Hendrick was appointed to the position of dean of the college by President Stephen B.L. Penrose. Before becoming dean of the college, Hendrick was an assistant English professor at Whitman College hired in 1902. Working closely with President Penrose, he proposed and fundraised for the Greater Whitman Plan, a plan to enlarge the campus grounds and expand Whitman's academic programs (by the inclusion of an engineering program), which was endorsed by the trustees. Hendrick resigned from the dean position in 1911.
This series contains correspondence and records from Dean Hendrick's tenure as Dean of the Faculty (1907-1911), such as faculty applications and scholarships. Also included are materials on the Greater Whitman Campaign. This series dates from 1904 to 1912.

Board of Deans, 1910-1948
Arranged chronologically.
Formed in 1910, the Board of Deans acted as advisors to the President of the College regarding the welfare of the student body, investigated concerns related to student life, and collected and examined monthly reports of each division to provide to the President. Initially, the Board of Deans was composed of three faculty members each with different administrative duties. Under President Clemen in 1934, the Board was reorganized and expanded to include division deans, the dean of women, the later dean of men, the president, and the dean of the college. In 1948, this Board was dissolved and responsibilities shifted to the newly created Faculty Council.

The Faculty Council was replaced by the Academic Council in 1966.

Academic Council Records, 1966-2005
Arranged alphabetically and then chronologically.
The Academic Council, formed in 1966, consisted of the Chair of the Faculty (who chaired the Academic Council), the three Division Chairs, three members of the Board of Review (one from each division), and three members of the Policy Committee (one from each division). Administrators and staff met with the Council as ex-officio members. The Academic Council was the advising and reviewing body for faculty meetings. Proposals that came from the Academic Council needed to be ratified at the general faculty meetings. The meetings of the Academic Council served as a proposed agenda for general Faculty meetings. The Executive Session of the Academic Council met to discuss and recommend actions regarding scholastic probation and student petition for readmittance that came from the Board of Review. As of the 2011 Faculty Code, the Academic Council was no longer an organizational body of faculty governance.

This committee regularly reported to the Academic Council and the general Faculty. Its membership included three teaching members of the Faculty (elected by the Faculty), and the Dean of the Faculty acted ex-officio. As of the 2011 Faculty Code, the Policy Committee was no longer an organizational body of faculty governance.

The Faculty Code contains information about the composition and responsiblities of the faculty, faculty legislation, academic regulations and procedures, and student activities. The Faculty Handbook includes information regarding positions and appointments of faculty members, compensation, personnel guidelines and procedures, teaching and advising, professional development, faculty organization and governance, resignation and retirement, and research policies. Earlier codes and handbooks cover both faculty and staff, but beginning in the 1970s, the staff had separate codes and handbooks from the faculty.
